Admin Coordinator – Operations & Project Support

Summary

We are seeking a highly organized Admin Coordinator to support daily office operations and project-related coordination activities. The role involves handling administrative tasks, documentation, internal coordination, and field support activities such as collecting documents, assisting with permits, handling basic banking and portal work, and coordinating between office and site teams. The ideal candidate should be proactive, detail-oriented, and capable of managing multiple operational tasks efficiently.

Key Responsibilities

• Administrative Support: Handle day-to-day administrative tasks including filing, documentation, data entry, and internal coordination between departments
• Document Handling & Submissions: Prepare, collect, and submit required documents for projects, approvals, work permits, and company operations
• Site & Field Coordination: Assist with site-related administrative requirements including delivering/collecting documents, permits, and approvals
• Portal & System Updates: Update internal systems, client portals, and project tracking platforms with required information and records
• Banking & External Coordination: Support basic banking-related tasks, cheque submissions, document submissions, and coordination with external offices when required
• Operational Assistance: Assist management and project teams with general operational requirements including follow-ups, errands, and coordination tasks
• Communication Support: Coordinate between clients, suppliers, and internal teams to ensure smooth flow of information

Experience & Qualifications

• Diploma or Bachelor’s Degree in Business Administration or related field (preferred)
• Minimum 2–5 years of experience in administration or operations coordination
• Strong organizational and multitasking skills
• Good communication and interpersonal abilities
• Basic understanding of office procedures and documentation systems
• Ability to handle field coordination and external tasks when required
• GCC experience preferred
